The idea behind fair use

Our plans are designed for genuine professional use β€” intensive working weeks, deadlines, busy research periods and project sprints. We don't want you to worry whether your normal usage is "too much".

At the same time, all users share the same infrastructure (transcription compute, storage, AI models). This fair use policy exists purely to make sure a tiny minority can't overload the service in a way that slows your own transcripts down.

Welcome: what counts as normal and intensive use

The following ways of using ForgetLess are exactly what it's built for:

  • A journalist transcribing dozens of interviews in a busy week, within their monthly quota.
  • A researcher pushing several hours of focus group recordings through the pipeline.
  • A legal professional uploading and processing multiple client conversations on the same day.
  • A student or teacher recording lectures and tutorials, then turning them into text.
  • A team that β€” within their purchased plan β€” consistently uses the full monthly allowance.
  • Topping up with credit packs when a specific project needs more minutes.

Using the full minute allowance of your plan is not a violation of this policy. You paid for it and you're allowed to use it.

Technical limits we apply

Beyond the monthly minute allowance, a few technical limits apply equally to everyone. They keep the queue fast for all users:

  • File size per upload: Free 15 MB Β· Plus 100 MB Β· Pro 250 MB Β· Pro+ 500 MB.
  • Concurrent transcripts: each account can run up to 5 jobs at the same time. Further uploads queue up neatly.
  • Burst limit: each account can process up to ~100 transcripts per hour. This is well above normal use and only affects automated scenarios.
  • One person per account: an account is intended for a single user. We're working on team functionality; for business setups today you can combine multiple individual accounts under a single Data Processing Agreement.

We may adjust these technical limits when needed to keep the service stable for everyone. Changes are communicated on this page in good time.

What we consider abuse

The following actions fall outside fair use. In these cases we may intervene:

  • Limit dodging: creating multiple accounts (with email aliases, throwaway domains or the same payment method) to stack up free minutes.
  • Account sharing at scale: a single account being used by multiple people or an entire organisation, instead of separate subscriptions or a business agreement.
  • Automated or bot use: scripted behaviour that floods the queue, scrapers, headless-browser automation, or attempts to bypass the UI through reverse engineering. We do not currently offer a public API; traffic that behaves like one is by definition unauthorised.
  • Resale: white-labelling ForgetLess, rebilling under your own brand or selling access to third parties β€” unless we've explicitly agreed to it in writing.
  • Security abuse: trying to access other accounts, deliberately overloading the infrastructure, or exploiting vulnerabilities without responsible disclosure.

Content you transcribe via ForgetLess

You remain the owner and the responsible party for your own transcripts. We do ask you to only upload material for which you have the proper rights and permissions. In practice, this means:

  • GDPR and consent: when recording conversations involving third parties, you are responsible for having a valid lawful basis (consent, legitimate interest or another GDPR ground) and complying with local rules around recording calls.
  • Copyright and licences: don't upload audio or video you're not allowed to edit or process under copyright or a third-party licence.
  • No unlawful content: no material that is illegal in the EU β€” think child sexual abuse material, terrorist content, explicit hate speech or unlawfully obtained recordings.
  • No covert recordings where prohibited: in some situations (e.g. certain business contexts) covert recording is not allowed. Make sure you know the rules before uploading.

What do we do if we suspect abuse?

We work in stages and always reach out first β€” misunderstandings are far more common than wilful abuse. Our usual approach:

  1. 1. Contact: we email you at the account address with a description of what we're seeing, so you can give context.
  2. 2. Temporary throttling: when behaviour persistently loads the queue we may temporarily lower your concurrent jobs or upload speed, so the service stays stable for everyone.
  3. 3. Suspension: in case of serious or repeated abuse, or upload of clearly unlawful content, we may suspend the account. Existing transcripts remain available for export for a reasonable period.
  4. 4. Termination: in very exceptional cases (e.g. repeated upload of criminal material, deliberate payment fraud) we may terminate the account. We cooperate with competent authorities where the law requires us to.

Right of appeal: disagree with a measure? Email us at [email protected]. We review every appeal personally and reach a new decision within 5 business days. If we made a demonstrable mistake, you'll obviously receive a full refund for the affected period.

What is outside this policy?

This fair use policy only describes how we deal with capacity and lawful use of the service. It says nothing about:

  • Privacy and data processing β€” see our privacy statement.
  • Cookies and tracking β€” see our cookie policy.
  • Pricing and payments β€” details on our pricing page. Refunds outside the legal framework are at ForgetLess's discretion.
  • Statutory consumer rights: nothing in this policy limits the rights you have under EU consumer law.
